Online application forms often have specific requirements for photographs, signatures and scanned documents. Preparing the file before starting the form can make the upload process easier.

Read the upload instructions carefully. Note the accepted file formats, maximum file size and any required image dimensions. Do not assume that requirements are the same across different websites.

Open the image and check its orientation. Crop unnecessary background while keeping all required information visible. For scanned documents, make sure names, numbers, stamps and signatures can be read clearly.

If the file is too large, resize or compress it gradually. Avoid extreme compression because it may make text or identification details unreadable. Save a separate copy rather than overwriting your original file.

Use a simple filename that helps you identify the document, and avoid including unnecessary sensitive information in the filename itself.

Before submitting the form, preview the uploaded file when the website provides that option. Confirm that you selected the correct document and that every important detail is visible.
